Save time and money

We build the systems and documents your business runs on — so you spend less time on admin and more time on the work that actually pays. Answer a few quick questions below and you'll see the likely build cost and time saved, live, as you go.

  • Save time and money — every hour spent on needless admin is an hour, and a cost, we can help you claw back.
  • Make your processes easier — workflows that just work, without the workarounds.
  • No more copy and pasting — generate documents automatically instead of entering the same information twice.
  • Spreadsheets, upgraded — turn fragile spreadsheet processes into slick, unbreakable systems that integrate with anything else you already use.
  • Nothing falls through the cracks — systems catch and chase what people forget, automatically.
  • You keep the keys — once it's built, it's yours: editable and documented, with no lock-in.
  • No more remaking templates — every recurring document is built once and reused automatically, not recreated from scratch each time.
  • Nothing lost in a downloads folder — the current version of every template lives in one place, not scattered across everyone's laptop.
  • Everything synced, automatically — files update everywhere at once, so nobody's working from an old copy.
  • Enter it once, use it everywhere — your data works across every system, so nobody re-types the same information twice.
  • Sensible pipelines, every time — every step gets followed by everyone, and documents land exactly where they need to be.
  • Training and onboarding made easy — new starters learn one clear system, not a patchwork of workarounds.
  • No licence shelfware — you're not paying for seats nobody logs into or tools nobody touches.
  • No feature shelfware — big platforms bundle in hundreds of features you'll never use; we build only what you actually need.
  • Built for what you use, not a pricing tier — the one feature that would actually help shouldn't be locked behind an upgrade you don't need.
How it works

Replace recurring software with systems you own

We audit the software, files and manual processes you already use, then rebuild the useful parts as one joined-up system designed around your business.

The finished code is owned by you and hosted on your own website. Your records and files stay there too, so there are no extra per-user subscriptions or recurring platform fees to keep the core system running.

It is not restricted by a pricing tier: any practical feature can be added, and nothing is held back behind a paywall.

Who it is for

Useful for one person, even more valuable for a growing team

Single individuals can cut software fees and remove repetitive admin from their day.

Teams of around 5–25 people can save substantially more by sharing one connected system instead of paying for extra seats across several services.

Everything is built to scale. As the business grows, the same system can support more people and processes without automatically increasing subscriptions or charging for additional users.

Experience and approach

Why me?

I am Matthew Cowan. I have spent more than 15 years running a production company and managing complex projects from initial enquiry through planning, delivery, reporting and invoicing. My approach combines company management, practical project management and hands-on system building.

I do not just look at individual pieces of software; I look at how work moves through the whole business, where information gets lost, and where repetitive administration can be removed. You do not just get a system; you get an operational consultant.

A better end result

Build the workflow you wish you had

This is not simply about replacing your existing systems with cheaper versions of the same thing. It is an opportunity to create something new: one joined-up, automated workflow designed around how your company actually operates.

Instead of separate tools, duplicate data entry and manual handovers, each stage can feed naturally into the next.

What manual jobs do you have that you wish you could automate?

O'Neill Trees & Timber: one connected system from enquiry to finished job

OT&T had been using HubSpot and Google Drive alongside separate pricing, document and operational processes. Their new joined-up system connects the CRM, bespoke estimating rules, AI-assisted quote creation, client proposals, risk assessments, invoices and follow-up todos around one job record.

  • Bespoke pricing calculator
  • AI-assisted quoting
  • Proposals and approvals
  • Risk assessments
  • Invoices and todos

Not sure what to select?

Answer a few simple questions about the tools, databases and documents you use now. Once those are understood, the assistant will estimate the avoidable admin and software savings and suggest what should be built.

1Tell us about needless admin time and costs today

What counts as needless admin? Only include repetitive manual work that could realistically be automated — such as retyping information, copying and pasting, creating the same documents, or moving data between software, spreadsheets and file formats. Do not include all general administration or skilled work that still needs a person.

Fill in all four fields above — hours, people, day rate and software fees — and you can tell us what you already use and unlock database, system and document picking.
